Improve Long-Term Delivery Performance to Outlook and Hotmail

Delisting Update

We’ve submitted a delisting request for your IP address with Microsoft Outlook. Reviews typically take up to 24 hours to complete, and delivery to Outlook/Hotmail should improve once the IP is cleared.

As a managed services client, you’ve likely seen a message like this from our team before . Microsoft Outlook blacklistings are common and usually resolve quickly. That said, it’s worth understanding what actually drives sending reputation with Microsoft, since it isn’t something we can control unilaterally.

Reputation isn’t assigned manually,  it’s calculated continuously by Microsoft based on several factors:

• Sending IP and domain reputation
• Email authentication (SPF, DKIM, DMARC)
• Recipient engagement (opens, clicks, replies)
• Complaint rates
• Bounce rates
• Overall sending behavior and volume patterns

To help keep your reputation strong and reduce the frequency of these listings, we recommend the following best practices:

1. Warm Up Gradually

• • Start by sending to your most engaged and legitimate recipients.
  • Increase your sending volume gradually rather than sending a large volume immediately.
  • Maintain very low bounce and complaint rates throughout the warm-up process

1. • Microsoft considers recipient engagement signals, including opens, replies, deletions, and spam complaints.
   • Avoid repeatedly sending emails to recipients who consistently do not engage with your messages.
   • Focus on sending relevant and valuable content to recipients who expect to receive your emails.

• • Remove hard-bounced and invalid email addresses promptly.
  • Process unsubscribe requests immediately and ensure unsubscribed recipients are not contacted again.

Following these practices consistently will help establish a healthier sending reputation and improve long-term delivery performance to Outlook and Hotmail recipients.
